User Guide for the Meetings Module

In a few words

The Finalcad One Meetings module makes managing your meetings easier by letting you, right in your project, efficiently document your discussions, track action items, and quickly share meeting minutes. This approach boosts communication and collaboration between everyone involved.

Creating a meeting

To get started, create a meeting by giving it a title and a date. If you want to save time, you can set up a new meeting based on an existing one so you keep its structure and properties.

Only editors and admins can create meetings. To change your permissions, please contact your project admin by going to the Project > Members page.

Organize the meeting

Once your meeting is created, you can make it better by inviting project members to join. You'll also be able to manage their attendance status on the day of the event, which helps you keep track and adjust how the meeting goes if needed.

Take notes during a meeting

Sections let you organize your meeting notes by topic. To help you get started, we've added about ten default sections that are often used in construction.

In every section, you can write text and also add stuff from other modules (comments, tasks). This all-in-one approach lets you put discussions in context and directly link to different parts of your project.

Plan your next session

Easily plan your next meeting by making a full list of the people you want to invite. This feature lets you organize your calendar and let everyone involved know in advance.

To improve visibility and make things easier to track, the date and time of the next meeting are automatically shown on your project’s home page, so every team member can plan accordingly.

Share meeting notes

Easily export your meeting as a PDF to share it with everyone. The structured document comes with a summary cover and organizes all notes by section, making for clear and complete documentation.

Downloading happens in the background, so you can keep working while the document is being created. Go to your downloads to get the meeting session PDF.

To include your most recent changes in the PDF, don't forget to generate a new version of the document. Any updates you've made to the meeting won't be reflected in the existing PDF automatically. You'll find your exported file in your device's downloads folder.
